Social media approval workflow tools: how sign-off works, and which tool fits

An approval workflow holds a social post until someone with the right to sign off says yes. Agencies, regulated brands and teams that let AI draft posts need one; the tools differ on who can approve and what happens if nobody does.

Who needs a social media approval workflow

A social media approval workflow is worth the extra step when the person writing a post is not the person accountable for it. Three cases come up most:

  • Agencies, where the client signs off before anything goes out under its name.
  • Brands in regulated or sensitive categories, where legal or compliance reads each post.
  • Teams that let software draft posts, including AI drafts, and want a person to read each one before it publishes.

A solo creator who writes and schedules their own posts usually gains nothing from it.

How a social media approval flow works

An approval flow moves a post through a short set of states before it publishes. Planable, Sprout Social and Hootsuite: multi-step approval

Planable, Sprout Social and Hootsuite let a team chain more than one approval step. Planable’s help center lists four modes, and in Required mode no post can be scheduled or published without at least one approver. Its multi-level approvals are Enterprise only, and its share links let outside collaborators see and comment on posts without signing in.

Sprout Social’s message approval workflows run steps in order, add an optional rejection note that is emailed to the author, and are available on Professional and Advanced. Its external approvers can approve, comment or reject from an emailed link. Hootsuite’s approval page says Super Admins can set up to three layers of approval, on Advanced (with multiple users), Business and Enterprise plans.

Later, Buffer and Loomly: single-step approval

overads Publish has a single approval step that holds a post until a teammate approves it. A workspace owner, admin or member can approve or reject; viewers cannot. A rejection can carry a reason, which shows on the post, and the post stays out of the queue until it is resubmitted. A pending post cannot be published early, though a member who edits the post can switch the approval step off, so it works as a team checkpoint rather than an enforced policy. The overads API and MCP server can create a pending post and send webhooks when it enters the queue and when it is approved, but cannot approve it.

  • You need approval on Instagram, Facebook or TikTok posts: Planable, Sprout Social, Later, Buffer and Loomly list all three networks, Hootsuite’s pages read here list Instagram and Facebook, and overads does not publish to any of them today.
  • Clients must approve without an account: Sprout Social documents this on Advanced.
  • Posts need several sign-offs in order, for example brand then legal: Planable Enterprise, Sprout Social or Hootsuite.
